At Lettermint, we're committed to maintaining a high-quality email ecosystem. Our reputation—and yours—depends on responsible email practices. When emails are sent responsibly, they reach their intended recipients, engagement improves, and everyone benefits.
Poor sending practices harm deliverability for all senders sharing our infrastructure. This is why we've established clear guidelines to ensure our platform remains trusted by inbox providers worldwide.
This Acceptable Use Policy outlines the rules and best practices you must follow when using our services. By adhering to these guidelines, you help us maintain high deliverability rates and a positive sending reputation for all our users.
- Explicit Consent: Only send emails to recipients who have given clear, specific consent to receive communications from you.
- No Purchased Lists: Never use purchased, rented, or harvested email lists.
- Proof of Consent: Maintain records of how and when consent was obtained for each recipient.
- Accurate "From" Information: Your "From," "To," and "Reply-To" information must accurately identify you or your business.
- Clear Subject Lines: Subject lines must not be deceptive and should reasonably reflect the content of your message.
- Physical Address: Include your valid physical postal address in every email.
- Unsubscribe Mechanism: Every marketing email must contain a clear, conspicuous unsubscribe option that remains functional for at least 30 days after sending.
- Honor Opt-Outs: Process unsubscribe requests within 10 business days (though we recommend doing so immediately).
To maintain the integrity of our platform, we enforce the following performance thresholds:
- Spam Complaint Rate: Must remain below 0.1% (1 complaint per 1,000 emails sent)
- Hard Bounce Rate: Must remain below 10% (100 bounces per 1,000 emails sent)
Exceeding these thresholds may result in temporary suspension or permanent termination of your account.
You may not use our service to send:
- Spam: Unsolicited bulk email or messages that recipients have not explicitly requested
- Illegal Content: Any content that violates applicable laws or regulations
- Harmful Content: Malware, viruses, or other harmful code
- Phishing Attempts: Messages designed to fraudulently collect personal information
- Deceptive Marketing: False, misleading, or deceptive marketing messages
- Adult Content: Pornography or sexually explicit material

- GDPR (European Union)
- CASL (Canada)
- PECR (United Kingdom)

We actively monitor sending patterns and recipient feedback to ensure compliance with this policy. We reserve the right to:
- Review your email content and sending practices
- Request information about your data collection and consent practices
- Temporarily suspend accounts that trigger our abuse detection systems
- Permanently terminate accounts for serious or repeated violations
To maintain good deliverability and avoid policy violations, we recommend:
