Yes. Our terms explicitly allow healthcare providers to send transactional and operational messages, such as appointment reminders and portal notifications. As the sender you decide what goes into an email, so we recommend keeping medical details out of the message and linking to your patient portal instead.

Our data processing agreement allows it when you have determined that the processing is lawful and properly safeguarded. Our security measures then apply to that data as well: encryption, least-privilege access, confidentiality and access logging. Even so, the safest email contains no diagnosis or result, only a notification and a link to a secure environment.

Yes. Everyone on our team holds a certificate of conduct (VOG) and signs a confidentiality agreement. If you are bound by professional secrecy, such as § 203 StGB for doctors in Germany, we can put a confidentiality agreement in place that matches it. Read more on our confidentiality page .

Only in the EU, on infrastructure Lettermint owns and operates. Lettermint B.V. is a European company with no US parent company, so the US CLOUD Act does not reach your email data. Read more about our European approach .

Yes. On the Growth and Pro plans you can schedule emails for a specific date and time, for example a reminder 24 hours before an appointment. You can also trigger reminders from your own system through the API at any moment you choose.

Most systems can send through SMTP, so you only need to enter the Lettermint SMTP settings. Custom applications and patient portals use the REST API or one of our official SDKs. See all integrations .

Lettermint is ISO/IEC 27001:2022 certified, covering the entire email infrastructure. Healthcare standards such as the Dutch NEN 7510 build on ISO 27001, so your security officer can map our controls to them. Certificates and policies are in our Trust Center.
